To enhance Skilled Services' project handoff process, Begin Software created a custom Salesforce solution that consolidated outdated manual workflows into a seamless digital process. Through Salesforce flows and a custom-built object, we streamlined task initiation, assignment, and tracking, eliminating ownership ambiguity and ensuring key departments received critical project information at the right time. This tailored approach provided leadership with immediate visibility into project readiness, reducing delays and allowing for a faster, more efficient project launch cycle.

1. Custom Project Delivery Handoff Tasks
How it works: Using Salesforce Flows, we developed a custom "Project Delivery Handoff" object to support seamless task creation and tracking within each Opportunity. At designated stages in the sales cycle, tasks are automatically generated for departments like Sales, Finance, and Preconstruction, each with specific task requirements, validations, and conditions for completion. Tasks are then routed to the right stakeholders and synced directly to the Opportunity record, consolidating all essential project information in one location and removing any ambiguity around task ownership.

Why it matters: This solution streamlined the entire handoff process by centralizing tasks, automating assignments, and removing the need for manual tracking. The structured, consolidated workflow enabled Skilled Services to minimize errors and improve communication across departments, empowering leadership with real-time insight into project readiness and accelerating delivery timelines.
2. Automated Project Completion Notifications
How it works: We leveraged Salesforce Flows to implement an automated notification system that keeps both Project Managers and leadership informed of project task progress. Each time a department marks a task as completed, the Project Manager is notified instantly, and once all tasks have been completed and validated, a final notification is sent to leadership, providing them with real-time visibility on project readiness without requiring manual status updates.

Why it matters: This automation provided a clear line of accountability and progress tracking, ensuring that tasks didn’t go unmonitored and leadership could move forward with confidence when projects were ready to start. This enhanced workflow reduced delays, streamlined communication, and allowed Skilled Services to transition from planning to execution with greater efficiency.
