Syncing Salesforce & HubSpot with Power Automate

To address the disconnect between Salesforce and HubSpot, we designed three custom automations thatsynchronized key data points and improved cross-platform collaboration between the Sales andMarketing teams. As Antech's retainer partner, we were already onboarded and primed to deliver a quicksolution, allowing us to respond rapidly to their needs. These automations ensured up-to-date informationfor trial start dates, purchases, and subscriptions, while enforcing data integrity checks to keep criticalcustomer information accurate and actionable.

1. Free Trial Synchronization
How it works: We utilized Salesforce Flows to automate data synchronization between Salesforce and HubSpot, triggered by key actions. With Power Automate, we ensured that updates related to new trials were seamlessly captured and reflected in both systems, keeping Sales and Marketing in sync and responsive.

Why it matters: This automation reduced manual oversight, ensuring both platforms were always aligned on the status of trial accounts—critical for accurate campaign tracking.
2. Purchases and Subscriptions Sync
How it works: Our integration of Salesforce Flows with Power Automate enabled the automatic synchronization of customer purchases and subscriptions with HubSpot. This ensured that crucial data remained up-to-date while new accounts were created as necessary, eliminating duplication.

Why it matters: By automating these updates, we eliminated discrepancies between systems, reduced manual data entry, and improved the speed and accuracy of information flow.
3. Data Validation
How it works: We established a workflow to validate essential customer account fields prior to data synchronization. When information was incomplete, the system searched Salesforce for possible matches and promptly notified the Sales and Marketing teams if no matches were found.
